Opponent Scout AI (“we,” “us,” or “our”) is committed to protecting the privacy of our users and, in particular, the privacy of minors whose game data may be included in uploaded materials. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use Opponent Scout AI (“the Service”).
1. Information We Collect
Account information. When you create an account, we collect your name, email address, team or organization name, role (e.g., head coach, assistant coach), and age-level focus (e.g., 12U, HS).
Uploaded files. You may upload screenshots, PDFs, and CSV files containing opposing-team box-score and statistical data (“User Content”). These files may contain player names, jersey numbers, and game statistics at the moment of upload.
Generated reports. We retain the Rival Reports and dugout cards produced for your account so you can access them through your report history.
Usage data. We collect standard log data, including IP address, browser type, pages visited, and timestamps, for security, analytics, and service-improvement purposes.
Payment information. When you subscribe or purchase a single Rival Report, payment details are processed and stored by our payment processor. We do not store full credit-card numbers on our systems.
2. How We Handle Player Names
Our central data-privacy principle: we do not retain plaintext player names in our database after ingestion, and we never display player names on a Rival Report.
When you upload a file, our ingestion pipeline reads the file once to extract statistics, then replaces every player name with a one-way cryptographic hash: a random-looking string that cannot be reversed back into the original name. We retain only the hash, which allows us to recognize the same player across multiple box scores and across files uploaded by different coaches. The plaintext name is discarded from our database at ingestion. Our AI models never see plaintext names after ingestion. Rival Reports reference opposing players by jersey number only; lineup position may appear as context alongside a jersey reference.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service;
- Generate Rival Reports for your account;
- Improve the Service, including by pooling anonymized, numbers-only statistics across coaches scouting the same opponent so that reports on shared opponents become more accurate over time;
- Process transactions and manage subscriptions;
- Communicate with you about the Service, including service updates and support responses;
- Detect, prevent, and address technical issues or abuse of the Service;
- Comply with legal obligations.
4. Data Pooling
If you upload statistics on an opposing team that another coach in the Service also scouts, we may combine the stat-level information in anonymized form (numbers only, with no player names attached) so that every coach receives a sharper Rival Report on that opponent. We do not share your roster, your uploads, your Rival Reports, or any information that identifies you with other users.
5. How We Share Information
We do not sell, rent, or trade your personal information. We may share information only in the following limited circumstances:
- Service providers. We share information with vendors who perform services on our behalf (such as hosting, payment processing, email delivery, and analytics), under contractual obligations to use the information only for the services we request.
- Legal requirements. We may disclose information if required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, the safety of users, or to comply with a legal obligation.
- Business transfers. If Opponent Scout AI is involved in a merger, acquisition, or sale of assets, user information may be transferred as part of that transaction; we will provide notice before your information becomes subject to a different privacy policy.
6. Retention
We retain uploaded files and generated Rival Reports for as long as you maintain an active account and for a reasonable period thereafter, unless you request earlier deletion. You may request deletion of specific uploads, specific reports, or your entire account at any time by emailing CustomerService@OpponentScoutAI.com.
7. Your Rights and Choices
Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise any of these rights, email us at CustomerService@OpponentScoutAI.com. We will respond within a reasonable timeframe and in accordance with applicable law.
8. Minors and Youth Sports Data
Opponent Scout AI is designed for use by coaches, parents, and organization staff, not by minors. The Service is not directed to children under 13, and we do not knowingly create accounts for children under 13. User Content uploaded to the Service may include statistics from games played by minors. We treat this data with elevated care: player names are replaced with one-way hashes on ingestion as described above, and names are never displayed on a Rival Report. Our full youth-data handling posture, including alignment with the Children’s Online Privacy Protection Act (“COPPA”) and applicable state analogs, is subject to legal review before general launch. If you believe a minor’s identifiable personal information has been provided to us inappropriately, please contact us at CustomerService@OpponentScoutAI.com and we will promptly investigate and, where appropriate, delete the data.
9. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission over the internet or method of electronic storage is 100% secure; we cannot guarantee absolute security.
10. International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States, where data-protection laws may differ from those of your jurisdiction.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on the Service and update the “Last updated” date above. Material changes will be communicated through the Service or by email.
